User Guide โ€” Classroom Management System

A comprehensive, step-by-step handbook to help you set up and manage your classroom spreadsheet with zero formula errors.

๐Ÿš€

1. Getting Started

Welcome to the TeacherEase Classroom Management System! This workbook is engineered to save you hours of repetitive data entry by auto-calculating attendance, grades, and risk status across 13 sheets.

First Action Item: Open the downloaded .xlsx workbook and navigate immediately to the START HERE or Settings worksheet before modifying any other tab.
  1. Open the file in Microsoft Excel (2016 or newer) or upload it to Google Sheets.
  2. Read the orientation overview on the START HERE sheet to familiarize yourself with color coding: white/blue cells are for data entry; gray/shaded cells contain formulas.
  3. Save a clean master copy on your computer or Google Drive as a backup before entering live student data.

2. Settings & Configuration

The Settings sheet acts as the command center. Information entered here propagates across all report headers, grade calculations, and summary sheets.

Step 1: Header InformationEnter your Teacher Name, School Name, Division, Region, Grade Level, Section Name, and School Year (e.g. 2026-2027).
Step 2: DepEd Grading Component WeightsConfigure the percentage weights according to DepEd Order guidelines for your subject area (e.g., Languages/Araling Panlipunan: Written Works 40%, Performance Tasks 40%, Exam 20%; Science/Math: WW 30%, PT 50%, Exam 20%).
Step 3: Passing ThresholdVerify the passing grade threshold (default is set to 75). Scores falling below this threshold will automatically flag students in the At-Risk sheet.
๐Ÿ‘ฅ

3. Student Masterlist

The Masterlist is the single source of truth. Every other sheet uses the Student ID to pull names and demographics automatically.

  1. Student ID Format: Use a standardized ID format such as STU-001, STU-002, or official LRNs.
  2. Name Entry: Type Last Name, First Name, and Middle Name in separate columns. The Full Name column concatenates them automatically.
  3. Auto-Calculated Fields: Age automatically calculates from the Birthdate field using DATEDIF. Do not type manually in the Age column.
  4. Enrollment Status: Select Active, Transferred, or Inactive from the dropdown menu. Transferred students will automatically be excluded from active class averages.

4. Attendance Tracker

Record daily attendance in under 2 minutes using simple one-letter codes.

P = Present
A = Absent
L = Late
E = Excused
  • Date Headers: Double-click row 4 date cells to select or type the exact calendar date for each lesson.
  • Auto-Totals: Total Present, Absent, Late, Excused, and Attendance Percentage recalculate automatically on the right margin.
  • Low Attendance Alert: Students whose attendance falls below 80% receive a soft highlight to prompt parent contact.
๐Ÿ“

5. Gradebook & Grading

Designed around DepEd Form 138 / Class Record structure with automatic weighted score computation and transmuted final grades.

  1. Set Max Scores First: Before typing student scores, enter the Maximum Score for each Written Work (WW), Performance Task (PT), and Quarterly Exam in Row 4.
  2. Enter Raw Scores: Input raw student scores in the unshaded cells. Percentage scores compute automatically.
  3. Weighted Average: The sheet multiplies WW %, PT %, and Exam % by their configured weights from Settings.
  4. Final Transmuted Grade: The initial grade is converted to DepEd Transmuted Grade via automated lookup table logic.
๐Ÿ“ˆ

6. Student Performance

View individual and class-wide academic trajectories. Compare quarter-by-quarter performance to spot growth or sudden drop-offs early in the school year.

  • Tracks Quarterly Grades (Q1, Q2, Q3, Q4) and calculates the Final Rating.
  • Shows automatic Performance Status badges: Outstanding (90-100), Satisfactory (80-89), Fair (75-79), Did Not Meet Expectations (<75).
โš ๏ธ

7. At-Risk Students

Automated early warning system for academic failure and chronic absenteeism.

  • Automatic Flagging: Any student with a grade below 75 or absences exceeding 3 consecutive days appears automatically on this list.
  • Intervention Tracking: Enter remediation details, intervention dates, parent contact notes, and outcome status (e.g. Improved, Ongoing, Escalated).
๐Ÿ“Š

8. Class Analytics

Provides essential summary statistics required for school head reviews and DepEd SMEA (School Monitoring, Evaluation, and Adjustment) reports.

Class Mean: Average score across all active students
Passing Rate %: Percentage of students achieving โ‰ฅ 75
MPS: Mean Percentage Score per assessment
๐Ÿ“„

9. Student Reports

Generate individual student progress slips ready for printing or parent card distribution.

  1. Go to the Student Report sheet.
  2. Select a student from the dropdown menu at the top.
  3. All fields (grades, attendance totals, conduct notes) populate instantly.
  4. Press Ctrl + P (or Cmd + P on Mac) to print a clean 1-page progress report.
๐Ÿ“ž

13. Common Mistakes to Avoid

1. Overwriting Formula CellsNever type numbers directly into gray or shaded cells. If you overwrite a formula, calculations on subsequent sheets will stop working.
2. Forgetting Max Scores FirstAlways enter the Max Score in row 4 before entering student grades in the Gradebook. Without a Max Score, formulas will display #DIV/0! error.
3. Deleting Masterlist Rows IncorrectlyTo remove a student, clear the contents of the row or mark them as Inactive. Do not right-click and delete entire rows, as this corrupts VLOOKUP ranges.
๐Ÿ”ง

14. Troubleshooting Guide

Issue: Cells showing #REF! or #VALUE!

Solution: Press Ctrl + Z immediately to undo recent row deletions, or verify that the Student ID on the active sheet matches an entry on the Masterlist.

Issue: Student names not showing up on Gradebook or Attendance

Solution: Ensure you typed the Student ID (e.g. STU-001) in Column A of that sheet. Names look up automatically based on the ID.

Issue: Grades not calculating or showing 0%

Solution: Check the Settings sheet to confirm that grading component weights sum to 100% (e.g. 40 + 40 + 20 = 100).

16. Frequently Asked Questions

Q: Can I use this system in Google Sheets?

Yes! Upload the .xlsx file to Google Drive and open it with Google Sheets. Most formulas are compatible, though some advanced Excel functions (e.g., conditional formatting rules, data validation ranges) may require minor adjustments.

Q: What happens if I move or delete a student row?

Avoid deleting rows; instead, change the Enrollment Status to 'Inactive'. If you delete a row, VLOOKUP formulas on other sheets may display #REF! errors. If this happens, press Ctrl+Z to undo.

Q: How do I export grades to DepEd Form 138?

The system is structured to mirror DepEd Form 138 layout. You can copy the final grades and performance status columns, paste them into the official Form 138 template provided by your schools HR or Curriculum Coordinator.

Q: Can multiple teachers share this file?

Yes, but use caution. Save the file in a shared Google Drive folder or OneDrive. Avoid editing simultaneously on the same sheet to prevent data corruption. Version control is recommended.
