๐Ÿ‘ฅStudent Masterlist

The central student database. Every other sheet references this data. Enter Student ID, name, sex, birthdate, age, parent/guardian, contact, email, address, enrollment status, and notes.

Why Teachers Need It

Teachers repeat student information across multiple forms โ€” attendance sheets, gradebooks, report cards. The Masterlist eliminates this by being the single source of truth that all other sheets pull from.

Key Benefits

  • Enter each student's information exactly once
  • All other sheets automatically reference the Masterlist by Student ID
  • Enrollment Status dropdown lets you mark students Active, Transferred, or Inactive
  • Full Name auto-generates from Last, First, and Middle Name fields

How It Works

  1. 1Enter students starting from row 3, one per row. Use the format STU-001, STU-002, etc. for Student IDs.
  2. 2Full Name is auto-calculated from Last Name + First Name + Middle Name.
  3. 3Age auto-calculates from Birthdate.
  4. 4Enrollment Status uses a dropdown (Active, Transferred, Inactive).
  5. 5Other sheets use VLOOKUP/XLOOKUP to pull names and details from the Masterlist.

Example Workflow

โ€œYou add a new student, STU-031, to the Masterlist. The next day, you open the Attendance Tracker and the Gradebook โ€” the new student's name already appears, pulled automatically from the Masterlist. No manual copying.โ€

Pro Tips for Teachers

  • โ€ขAlways add new students to the Masterlist first โ€” other sheets won't recognize them otherwise
  • โ€ขUse consistent Student ID format (STU-001, STU-002) to keep references clean
  • โ€ขDelete the sample data (STU-001) before entering your own students

Frequently Asked Questions

How many students can I add?

The sheets are pre-formatted for 50 students. You can extend formulas to handle more by dragging them down.

What if a student transfers out?

Change their Enrollment Status to 'Transferred' or 'Inactive'. Their data remains but they can be filtered out of active counts.
